I have been shortlisted. What do I do next?

To be eligible to win an award, shortlisted applicant organisations must register a minimum of two representatives to attend the ceremony.

I was not shortlisted this year. Can I still attend the Awards Ceremony?

Yes, the Awards Ceremony is open to everyone to attend.
 

Where and what time does the Awards Ceremony take place?

The Awards Ceremony will take place at the COAM in Madrid, Spain over two half days on 13-14 November 2025.

  • Dinner

14 November | 09:00 - 14:00 WEST

  • Networking day with exhibition space and opportunities to meet with ceremony attendees and shortlisted projects
  • Includes interactive thematic sessions organised by our valued event partners

How much is the attendance fee?

Participation fees are as follows:

  • ESN Members: €148
  • Non-ESN Members (that are non Private Organisations): €190 
  • Organisations from Spain (that are non Private Organisations): €125
  • Reduced Delegate Rate*: €105
  • Private Organisations: €275

*The reduced rate includes participants from the following countries: Croatia, Albania, Bosnia-Herzegovina, Montenegro, Serbia, Ukraine, Bulgaria, Romania, Kosovo and Türkiye.

 

Do I need to book my own hotel and travel?

Attendees need to book their own hotel and travel.

Can I cancel my registration for the Awards Ceremony? 

It is always possible to replace your registration with someone else, free of charge. 
Cancellations before Friday 17 October will receive a refund minus a 15% administration charge.
For cancellations after Friday 17 October, no refund is possible.
Please communicate any changes to your registrations to essa@esn-eu.org 

 

What is the deadline to pay my attendance fee?

You will receive your contribution request for the delegate fee after your registration to the ceremony. Please, ensure you pay your contribution request within the indicated due date. 
If you are unable to do so, please get in touch with the ESN team at essa@esn-eu.org.
